CANCELLATIONS & REFUNDS

We understand that life gets busy sometimes and that plans can change. This is why we have made our cancellations & refunds policy as simple as possible.

We value honesty, fairness, and excellent customer service. If you need help cancelling or rescheduling an appointment, please contact us and we will be happy to help.

Booking, Payment & Appointment Security Policy

All treatments and therapies must be booked in advance either online, by telephone, or via text message.

Full payment is required at the time of booking via the treatment pages on our website. Where online payment is not completed, a non-refundable booking or cancellation fee (specific to each treatment) will be required to secure the appointment.

An invoice for the full treatment cost will be issued prior to confirmation. Appointments will not be confirmed or held until the applicable payment has been received in full.

Failure to complete payment may result in the appointment being released without notice.

Why A Cancellation Fee?

Appointments & Payments

All treatments are available by appointment only. This allows us to fully prepare for your visit, maintain the highest standards of cleanliness, and ensure all products and equipment are ready for your treatment.

Appointments can be booked directly through our website. A debit or credit card is required, and a deposit must be paid to secure your booking. The remaining balance will be payable at the end of your treatment.

If you are unable to pay online, please call or text us. Your appointment can be secured once the full treatment cost has been paid either by phone or in person with one of our practitioners.

Cancellations & No-Shows

If you do not notify us of a cancellation, the appointment time cannot be offered to another client. Preparation will already have been completed, and a therapist will have been scheduled specifically for your session—often travelling a significant distance to attend. In addition, rent, utilities, and treatment consumables will have already been allocated for your appointment.

For this reason, cancellation fees apply and to cover the loss to the clinic of these costs. All clients are required to pay their booking fee upfront if the treatment has not been paid for online.

  • We reserve the right to invoice clients who have not paid their cancellation fee.

  • We reserve the right to invoice clients who have not paid their cancellation fee and cancel past the 48 hours cancellation period.

  • We reserve the right to invoice clients who requested treatments such as botox, dermal fillers and fat freezing where product specific to the client has been ordered for the treatment, to charge the client for the product ordered as priced at cost to Body and Face Clinic Limited. 

Non payment after 7 days the outstanding will be referred to collections and could result in a small court claim against the client. 

All banking and other costs incurred by Body and Face Clinic Limited will be charged to the client for immediate settlement. 

Our Refunds Policy

There are good reasons to cancel treatments from time to time and we're happy to help you with a cancellation.  However:

  • We do not offer refunds for any completed services. This includes all treatments and sale of any skin care products. 

  • However if you are in any way dissatisfied with any aspect of your experience, please contact us. We will try our utmost to resolve any problems.

  • We do not give a refund or exchange for any products purchased in our clinic/salon or on our website. .

  • If a refund is approved, all refunds are subject to a refund fee of £20 to cover administration and bank fees in favour of Body and Face Clinic Limited.

  • The consent forms for these aesthetics treatments clearly state that there is no guarantee of a satisfactory or pleasing result. Rather our aesthetics practitioners will be using their experience and clinical acumen to provide the best possible treatment result to the best of their ability. We constantly strive to improve patient satisfaction and audit and publish these results on our website.

  • We do not ‘top up” of 'HIFU' and/or anti-wrinkle treatments may be offered at the clinician’s discretion but this should not be taken as an expectation. Our aim is for service users to be delighted with their results, however, we are also very careful to manage expectations, hence the thorough pre-treatment consultation.

  • There is no “top up” of dermal fillers, including lip fillers, ProfHilo®  including lip augmentation,  and any further required treatment will naturally need to be paid for.

  • Any adverse issues relating to facial aesthetics work undertaken at Body and Face Clinic Limited needs to be highlighted and reviewed with a face to face review consultation with the treating clinician within a maximum of three months since having had the work done.

  • We are not obliged to correct the work of Body and Face Clinic Limited practitioners and do not review patients who present more than two months after their treatment with us, especially if they have previously failed to bring any concerns to our attention. In this circumstance, we are unable to verify the subsequent facial aesthetics history of the patient and our medical team have determined that two weeks is a reasonable timescale to have highlighted any concerns to us.

  • This clinic policy is resolute and is in line with sound facial aesthetics practices and recommendations.

  • This policy is clearly stated in the patient reading material pre-treatment and in the consent form.

  • Any dermal filler dissolver costs £150 and may or may not be offered, this is at the sole clinical discretion of the treating clinician.

GIFT VOUCHERS

  • Gift vouchers are available for all clinic treatments and are not redeemable if lost, stolen or damaged.

  • Gift Vouchers expire one year after the purchase date.

  • Gift voucher sales are final, with no refunds.

  • Gift vouchers cannot be exchanged for cash.

  • Change is not given on purchases that cost less than the value of the voucher presented.

  • Gift Voucher cannot be used for injectables (Botox, aesPLLA, Boosters, LUMI Eyes, and other). Please ensure you have means to pay for it.
